Information We Collect

We collect information you provide directly, including account details, your name, business name, email address, phone number, billing details, payment information, service configuration, scripts, knowledge base materials, and support communications.

We process information from your callers and customers on behalf of the business customer using Piquup. This may include phone numbers, call audio, call recordings, transcripts, appointment details, SMS messages, customer requests, and AI-generated call summaries.

We also collect technical information automatically, such as IP address, browser type, device information, pages viewed, referring pages, login events, dashboard activity, and usage analytics.

How We Use Information

We use information to provide, secure, maintain, and improve Piquup; answer calls; send messages; book appointments; generate transcripts and summaries; route alerts; provide customer support; process payments; monitor performance; prevent fraud and abuse; comply with law; and communicate with business customers about their accounts.

How We Share Information

We share information with service providers that help us operate Piquup, including Twilio for telephony and SMS, Deepgram and Cartesia for speech processing, Google AI for transcript analysis and AI responses, and Cloudflare and Fly.io for hosting and infrastructure. These providers process information only as needed to provide services to us.

We may also share information when required by law, to protect rights and safety, in connection with a business transaction, or with your direction or consent. We never sell personal information and never share personal information for third-party marketing.

Google User Data

If you connect your Google account to Piquup, we request access to your Google Calendar and your basic Google account email address. We use Google Calendar access to read your availability (free/busy and existing events) so the AI can offer open times to callers, and to create calendar events when a caller books an appointment. We use your Google account email address only to show you which Google account is connected, so you can confirm the correct calendar is linked.

You can disconnect your Google account at any time from your Piquup dashboard. Disconnecting deletes the stored Google authorization tokens and ends Piquup's access to your Google data.

Piquup's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, and we do not sell Google user data or transfer it to third parties except as necessary to provide the Piquup service or as required by law.

SMS Messaging

Piquup sends transactional and customer-care text messages — such as appointment confirmations, appointment reminders, follow-ups on inquiries, and call notifications to business owners — on behalf of the businesses that use Piquup. Consent is collected verbally: when a person calls a Piquup-subscribed business, the AI assistant asks for their mobile number and whether they would like text updates about their appointment or request. A caller who provides their number and agrees has opted in to receive these messages from that business. Business owners and their staff opt in when they create a Piquup account and provide their mobile number to receive call notifications.

Message frequency varies based on activity (for example, one confirmation when an appointment is booked and one reminder before it). Message and data rates may apply. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

Data Retention

We retain account information for as long as needed to provide the service and meet legal, tax, accounting, security, and operational requirements. Call records, transcripts, recordings, messages, and analytics are retained according to the business customer's settings and plan, unless a longer period is required by law or needed to protect our rights.

Security

We use technical and organizational safeguards designed to protect information, including encryption in transit and at rest, access controls, logging, and infrastructure security controls. No system is perfectly secure, and we cannot guarantee absolute security.

Your Rights

Depending on where you live, you may have rights to access, correct, delete, export, or restrict use of personal information. Business customers may manage account data from their dashboard or by contacting us. Callers and customers of a Piquup business should contact that business first because Piquup often processes their information on the business's behalf.

Children's Privacy

Piquup is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the date above and provide additional notice when required by law.
